About the Role

We are seeking a detail-oriented, systems-minded, and collaborative Enrollment and Applications Systems Manager to support our Admissions Office. This position plays a key role in ensuring that data and processes are accurate across all platforms and departments.  The role strengthens the school’s ability to attract, enroll, and support students and families through accurate management and thoughtful communication.

Reporting to the Co-Directors of Admissions, you will oversee the entire lifecycle of applicant and enrollment data, as well as contract generation. A core function of this role is ensuring the optimal efficiency of our technical systems, including the Veracross admissions module, Ravenna, and Clarity.

Core Responsibilities

Enrollment & Applicant Systems Management

  • Enrollment Database Administrator: Serve as the primary architect for the Admissions CRM (Ravenna) and Enrollment Module of the Student Information System (Veracross), managing all configurations and annual roll-overs pertaining to enrollment and student applications.

  • Data Integrity & Auditing: Develop and execute rigorous data-cleansing protocols to ensure "single source of truth" accuracy across all platforms. For example, admission and enrollment dashboards, reports, and data exports to inform strategic decision-making and support financial aid analysis.

  • Cross-Departmental Sync: Manage complex data migrations and API integrations between Admissions, the Business Office (Tuition/Contracts), and Marketing.

Enrollment & Communication

  • Manage the enrollment contract process, from creation through distribution and tracking, to final collection. Oversee communication with families to ensure a smooth, timely, and accurate enrollment process.

  • Coordinate with the Business Office on processes related to tuition, fees, and enrollment deposits.

  • Provide dedicated support for Financial Aid data, working closely with the CFO and external providers to maintain accuracy, confidentiality, and clear applicant communication. 

Office & Event Support

  • Support the coordination of admission events (open houses, tours, and special programs) by managing all related data within the databases and providing occasional on-site support.

  • Perform related duties as assigned to ensure the Admission team and broader school community meet their shared goals.

Technical Qualifications & Experience

  • Professional Experience: 3–5+ years of progressive experience in Data Systems Management, Database Administration, or Systems Operations, preferably within an educational or non-profit ecosystem.
  • Systems Expertise: Advanced proficiency in Enterprise Resource Planning (ERP) or Student Information Systems (SIS). Direct experience with Veracross, Ravenna, and Clarity is highly prioritized.
  • Data Governance & Integrity: Demonstrated commitment to data hygiene and process integrity. Experience establishing protocols for data entry, validation, and regular auditing to ensure a "Single Source of Truth."
  • Analytical Expertise: Expert-level facility with relational databases, advanced spreadsheet modeling (e.g., Pivot Tables, VLOOKUP/XLOOKUP, Query functions), and data visualization tools to support executive decision-making.
  • Technical Agility: A proven track record of independently auditing, implementing, and optimizing emerging SaaS platforms and AI-driven productivity tools.

  • Communication & Stakeholder Management: Ability to translate complex technical datasets into clear, actionable insights for non-technical stakeholders, maintaining a professional and service-oriented demeanor.
  • Operational Excellence: Superior project management skills with the ability to navigate high-stakes seasonal cycles (e.g., enrollment deadlines) while maintaining precision and composure.
  • Data Security & Ethics: A sophisticated understanding of data privacy standards and a high degree of discretion when managing sensitive PII (Personally Identifiable Information) and financial records. Familiarity with FERPA laws is a plus.
  • Continuous Improvement: A proactive mindset focused on Process Optimization. Identifying systemic inefficiencies and engineering automated or streamlined workflows to resolve them.
  • Educational Background: A Bachelor’s degree in Data Management, Information Systems, Business Administration, or a related analytical field is preferred.

Compensation

The salary range for this position is $75,000 - $100,000. Placement within the range will be commensurate with experience and qualifications. Candidates with less years of experience can expect placement toward the lower end of the range. This position offers a competitive benefits package that includes medical, dental, and vision coverage, a matching 403(b) retirement plan, and daily lunch.
